Introduction

Evolve Counseling & Wellness ("we," "our," or "us") respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or engage our therapy and counseling services.

Please read this Privacy Policy carefully. By using our website or services, you consent to the practices described in this policy.

Information We Collect

Information You Provide Directly

We collect information you voluntarily provide when you:

  • Fill out contact forms to request an appointment or consultation
  • Engage our individual counseling, couples counseling, or life coaching services
  • Communicate with us via phone, email, or other channels

This information may include your name, email address, phone number, and any other personal or scheduling details you choose to share with us through our contact forms.

Information Collected Automatically

When you visit our website, we automatically collect certain technical information to understand website traffic and improve our services. To maintain your privacy and strictly adhere to HIPAA standards, we utilize a secure, HIPAA-compliant intermediary server. This proxy server actively scrubs and anonymizes identifying information—specifically your IP address—before routing any generalized traffic data to third-party analytics providers. The de-identified information safely collected includes:

  • IP address and geographic location
  • Browser type and version
  • Device type and operating system
  • Pages visited and time spent on each page
  • Referring website or search terms used
  • Date and time of your visit
Cookies and Tracking Technologies

We use cookies, Google Analytics, Google Tag Manager, and similar technologies to collect usage data and improve your experience. Because of our secure server-side proxy processing, no Protected Health Information (PHI) or identifiable IP addresses are ever shared with Google. You can control cookie settings through your browser preferences.

How We Use Your Information

We use the information we collect to:

  • Respond to your inquiries and schedule appointments
  • Provide requested counseling, therapy, and coaching services
  • Process payments and manage client accounts
  • Send administrative updates, appointment reminders, and service-related communications
  • Improve our website, services, and user experience
  • Analyze website traffic and outreach effectiveness
  • Comply with professional and legal obligations

Information Sharing and Disclosure

We do not sell, trade, or rent your personal information to third parties. We may share your information with:

  • Service Providers: Third-party vendors who assist with website hosting, email delivery, secure practice management, payment processing, and analytics (such as Google Analytics).
  • Professional Advisors: Accountants, lawyers, and consultants as needed for business operations.
  • Legal Requirements: When required by law, court order, or to protect our rights and safety, subject to applicable clinical confidentiality and therapeutic laws.
  • Business Transfers: In connection with a merger, acquisition, or sale of assets.

Data Security

We implement reasonable technical and organizational measures to protect your personal information from unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security. Note: Standard email and website contact forms are not always a secure method of communication for highly sensitive health information.

Data Retention

We retain your personal information for as long as necessary to fulfill the purposes outlined in this policy, comply with legal and clinical retention obligations, resolve disputes, and enforce our agreements. Client records are typically retained for seven years after the end of our professional relationship, in accordance with standard health practice regulations.

Your Rights and Choices

Depending on your location, you may have certain rights regarding your personal information:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Request correction of inaccurate or incomplete information.
  • Deletion: Request deletion of your personal information (subject to legal and clinical retention requirements).
  • Opt-Out: Unsubscribe from non-essential marketing emails at any time.

To exercise these rights, please contact us using the information provided at the bottom of this policy.

California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have specific rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA):

  • Right to Know: You can request what personal information we collect, use, disclose, and sell.
  • Right to Delete: You can request deletion of your personal information, subject to certain exceptions.
  • Right to Correct: You can request correction of inaccurate personal information.
  • Right to Opt-Out: You can opt out of the sale or sharing of your personal information.
  • Right to Non-Discrimination: We will not discriminate against you for exercising your privacy rights.

Do Not Sell or Share My Personal Information

The Counseling Group does not sell your personal information in exchange for money. However, under California law, sharing personal information for targeted advertising may be considered a "sale." We use cookies and tracking technologies for analytics purposes.

You have the right to opt out of the sale or sharing of your personal information. To exercise this right, you may call us at the number below or use our website's contact form.

Global Privacy Control (GPC)

We honor Global Privacy Control (GPC) signals. If your browser or device transmits a GPC signal, we will treat it as a valid opt-out request for the sale or sharing of your personal information.

Verification & Third-Party Links

When you submit a privacy request, we may ask you to verify your identity by providing information that matches what we have on file. We will respond to verifiable requests within 45 days.

Our website may contain links to third-party websites. We are not responsible for the privacy practices or content of these external sites. We encourage you to review the privacy policies of any third-party sites you visit.

What cookies and tracking tools does this site use?

This site loads Google Analytics, which tells us how many people visit and which pages they read, Google Tag Manager, the container we use to load the measurement tools described here, and Google reCAPTCHA, which checks that form submissions come from people rather than bots.

These tools set cookies in your browser and send information about your visit to the companies that run them, which means those companies receive data about your visit directly. Their own privacy policies apply: see the Google Privacy Policy.

You can block or delete cookies in your browser settings. Most browsers let you refuse them entirely or clear the ones already stored. Blocking them will not stop you using this site.

Do we sell or share your information?

We do not sell your personal information, and we do not share it for cross context behavioral advertising. We have turned off ad personalization and enabled restricted data processing on the Google tools this site uses, which limits Google to processing that data on our behalf rather than for its own advertising purposes.

Apart from that, we share what you send us only with the people who help us run the business: our hosting and email providers, and the staff who answer your inquiry. We do not hand your details to unrelated companies.

How do we respond to Do Not Track and Global Privacy Control signals?

Some browsers and extensions send an automated signal saying you do not want to be tracked. Two exist. Do Not Track is the older one, and because no common standard was ever agreed for how sites should answer it, this site does not currently respond to it. Global Privacy Control is the newer one, and where the law requires us to treat it as an opt out of sharing for advertising, we honor it.

If you would rather not wait on a browser signal, contact us using the details on this page and we will apply your request directly.

How does this apply to the pages about conditions and treatments?

Some pages on this site describe specific conditions and treatments. When you open one, the web address of that page is included in the standard analytics measurement described above, the same as for any other page on the site.

This site is informational. We do not collect medical records here, we do not use page visits to build advertising audiences, and we do not combine what analytics measures with anything you send us through a form.

If you would prefer that no page visit be measured at all, the browser controls described above will block it, and you can also contact us and we will apply your request directly.

Children's Privacy

Our website and services are directed towards adults. We do not knowingly collect personal information from individuals under 18 years of age without parental consent. If you believe we have inadvertently collected information from a child, please contact us immediately.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. We encourage you to review this policy periodically.
